Pay as You Go

No Show/Cancellation Policy 

The ExerScience Center operates on a scheduled hourly appointment basis for Physical Therapy and private training sessions.  Therefore, when canceling or rescheduling an appointment, the client is required to provide MORE than 48 hour notice in order to receive credit for their appointment.

A “No Show” is a patient who fails to appear for a scheduled appointment without providing a 48 hour cancellation notice.  Further, a rescheduled appointment that is less than the 48 hour cancellation notice is still considered a cancellation and is treated as such.   The client will be charged in full for that missed session. This fee will be expected to be paid at your next scheduled visit.  If the fee is not paid, you will be billed, and this balance is subject to collections.

Exceptions will only be considered in the case of a medical emergency accompanied by a doctor’s note. There is a no refund policy, a credit will be issued for a future date.  A doctor’s note stating you are cleared to continue is required. 

 

Please note that consistent client short notice cancellations and rescheduling does the client and Physical Therapist or Personal Trainer a disservice and will end the partnership with the client.

Late Policy

Please call the office if you expect to be more than 5 minutes late.  A grace period of 15 minutes will be permitted for unforeseen delays a patient may encounter while travelling to the clinic location for their appointment. If a patient arrives more than 15 minutes late for their appointment, the patient will be given the option of either being seen that day as a walk-in, if the schedule permits, or treated as a cancellation. This process will ensure patients that do arrive on time are seen in a timely manner.

Sick/Covid-19 Policy

For your safety and the safety of others, please wear a mask to your appointment. 

If you or someone you came in close contact with are unwell please call to cancel your appointment even if you cannot give a 48 hour notice.  To protect our providers and patients we ask that you do not come into the office for your appointment

 

Covid testing is highly recommended.  If you or someone close to you has a positive COVID-19 diagnosis, you can return to the office only after you have quarantined, fully recovered, and provide a negative test result.  No penalties if you provide proof of testing.

Training Etiquette

Training Etiquette

TARDINESS POLICY:

Be punctual. Clients are expected to begin at the start time of their scheduled appointment. A late start time does not entitle a client to a session longer than the scheduled appointment.  Please call your trainer if you are going to be more than 5 minutes late. Trainers will only wait 15 minutes for late arrivals.  Any tardiness of more than 15 minutes will result in the loss of that session and the client will not be credited for it.  

 

Therapy/Training sessions are one hour long. If sessions are ended early based on the client’s request, the session is considered completed and the remaining time will not be made up during a later date.

TECHNOLOGY:

Please devote your full attention to your session.  Cell phones and other devices are not permitted.  You may take videos and pictures with verbal consent from your trainer.

 

DRESS CODE:

Please follow all policies regarding dress code when in the Fitness Center.

Proper exercise attire is required.  The client should wear clothes that are loose and comfortable.  But if the client is running or biking, avoid wide-leg or loose pants that could get tangled up in the pedals or your feet.  For activities such as yoga or Pilates, stretchy, fitted fabrics that wick away sweat are a good choice.  If you are unsure, please don't hesitate to contact The ExerScience Center.

MEDICAL CLEARANCE:

If a medical clearance is needed, the initial consultation will be scheduled after your doctor gives written release.

GYM, SALT & SAUNA RULES:

No gum, food, or open container beverages allowed.  Only water with a closeable lid is acceptable.

If you remove equipment, please clean up after yourself.    

Event & Group Classes

No Show/cancellation Policy

By purchasing an event ticket, you agree and understand that there are NO REFUNDS when it comes to the Events.  There is always a limited capacity of participants. When you are not able to come for whatever reasons, you are taking a spot of a person who might be in a great need of healing. You will get a full CREDIT for future event only when the event is cancelled or rescheduled.

Exceptions will only be considered in the case of a medical emergency accompanied by a doctor’s note.

Events

Membership Agreement Contract

Membership Commitment:

All memberships begin with a 4-month minimum commitment, during which members are assigned consistent appointment times (e.g., Tuesdays at 10:00 AM). After 4 months, the agreement transitions to a month-to-month plan.




🕒 Scheduling & Appointment Changes

• Appointments are time-dependent, recurring weekly based on your selected membership plan (1–6 hours per week).

Appointments are not eligible for cancellation, rescheduling, or refunds, as your time slot is reserved exclusively for you.

• If you wish to change your regular time, you may submit a written request. A change will only be granted if:

• The new slot is available

• It aligns with your clinical programming

• If no alternative is available, the original schedule remains in place as set at membership start.




📅 Holiday Policy


If your scheduled appointment falls on a recognized holiday, your appointment will be skipped for that week and resume on the same schedule the following week. There are no refunds or reschedules for these missed holiday sessions.


Recognized holidays include the following U.S. federal holidays and major holidays:


🗽 Major U.S. Holidays:

• New Year’s Day (January 1)

• Memorial Day

• Independence Day (July 4)

• Labor Day

• Thanksgiving Day

• Christmas Day (December 25)


✡️ Major Jewish Holidays (dates vary by year):

• Rosh Hashanah (2 days)

• Yom Kippur

• Passover (first 2 and last 2 days)


Note: If your appointment lands on any of the dates listed above, your session is automatically skipped and resumed following week with no credits.




⚠️ Medical Emergency Exceptions


Exceptions will only be made in the case of verified medical emergencies. Documentation may be required.




No-Show & Late Cancellation Policy

• Missed appointments — including no-shows or last-minute cancellations (non-emergency) — are considered used and cannot be rescheduled or credited.




🔄 Suspensions & Cancellations

• Members may suspend their membership for up to 3 months per calendar year by paying a $55/month hold fee to retain current pricing and priority scheduling.

• To cancel, written notice must be submitted at least 20 days prior to the next billing date.

• Memberships that are canceled and later reactivated will require re-registration and will be subject to current program rates and applicable fees.
