Canceling & Rescheduling

The ExerScience Center operates on a scheduled hourly appointment basis for private training sessions.  Therefore, when canceling or rescheduling an appointment, the client is required to provide MORE than 24-hour notice, in order to receive credit for the session.

However, if the client cancels or reschedules a session LESS than 24 hours to the scheduled time, the client shall be charged in full for that training session. For example, for pay as you go, the purchased amount $75 will be nonrefundable.  For package purchases, a loss of session will incur.    

Please note that consistent client short notice cancellations and rescheduling does the client and personal trainer a disservice and will end the partnership at the end of the client's package. 

 

Exceptions will only be made in the case of a medical emergency accompanied by a doctor’s note. There is a no-refund policy on all packages purchased – a client may only receive a refund if accompanied by a doctor’s note.


Should the personal trainer cancel a session with less than 24-hour prior notice, the client shall be entitled to one free session upon rescheduling. The free session must be redeemed within 7 days of canceling the previous one or shall be forfeited.
 

However, should my personal trainer cancel a session with MORE than 24-hour notice, I shall be entitled to one free session, but the training session shall be rescheduled within 7 days to ensure consistency and progress in my fitness program.

Payments / Plans / Packages

Payments must be made in full before starting any training or classes. 

 

EXPIRATION DATES ON PACKAGES:

Packages start on the day of purchase.  Any sessions that remains after the expiration date will be forfeited. See below for the duration of each package.

 

 5 PT sessions           3 months

Zen Power Pass        6 months

Training Etiquette

TARDINESS POLICY:

Be punctual. Clients are expected to begin working out at the start time of their scheduled appointment. A late start time does not entitle a client to a session longer than the scheduled appointment.  Please call your trainer if you are going to be more than 5 minutes late. Trainers will only wait 15 minutes for late arrivals.  Any tardiness of more than 15 minutes will result in the loss of that session and the client for will not be credited for it.  

 

Training sessions are one hour long. If sessions are ended early based on the client’s request, the session is considered completed and the remaining time will not be made up during a later date.

TECHNOLOGY:

Please devote your full attention to your session.  Cell phones and other devices are not permitted.  You may take videos and pictures with verbal consent from your trainer.

 

DRESS CODE:

Please follow all policies regarding dress code when in the Fitness Center.

Proper exercise attire is required.  The client should wear clothes that are loose and comfortable.  But if the client is running or biking, avoid wide-leg or loose pants that could get tangled up in the pedals or your feet.  For activities such as yoga or Pilates, stretchy, fitted fabrics that wick away sweat are a good choice.  If you are unsure, please don't hesitate to contact The ExerScience Center.

MEDICAL CLEARANCE:

If a medical clearance is needed, the initial consultation will be scheduled after your doctor gives written release.
